1. Who we are
Surplus Stock Deals Ltd ("we", "us", "our") buys and supplies surplus consumer goods on a trade basis. We are registered in England and Wales under company number 15450400, with our registered office at 219 Chanterlands Avenue, Hull, England, HU5 3TP.

2. Who this covers
We trade with businesses, not consumers. Most personal data we hold is contact information for individuals acting for a business. This policy also covers anyone who visits the website or contacts us through it.
3. What we collect
- Stock enquiries (buyers) — business name and type, contact name, email, telephone, delivery location, what stock you're interested in and in what quantity.
- Stock submissions (sellers) — business name, contact name and job title, email, telephone, where the stock is held, descriptions, quantities, condition, marking and documentation status, origin, original retail or trade values, the price you're seeking, your deadline, and any stock list or photographs you upload.
- Correspondence — messages sent through the website, by email or by telephone, quotations issued, and our replies.
- Transaction records — orders placed or stock bought, delivery and collection details, invoices, and payment records. We take payment by bank transfer and do not process card details through this website.
- Website analytics — information about how you use our website, collected through cookies where you have consented: pages visited, how you reached the site, approximate location derived from your IP address, and device and browser type. Our Cookie Policy sets this out in full.
4. Why we use it, and our lawful basis

5. Commercial confidentiality
If you send us details of stock you want to clear, we understand that information is commercially sensitive. We use it to value the stock and respond to you. We do not pass your stock list, your pricing or the fact that you are clearing inventory to anyone outside our business except where we need to arrange collection or are legally required to disclose it.
6. Who we share it with
- our delivery partners, couriers and hauliers, to move goods;
- our website host and IT suppliers, who may access data while supporting our systems;
- our website analytics provider;
- our email platform, where you have asked for trade updates;
- our bank, accountants and professional advisers;
- regulators and enforcement authorities — including local authority Trading Standards, the Office for Product Safety and Standards, the Health and Safety Executive and HMRC — where we are required to provide information, in particular on product traceability, withdrawal or recall.
We do not sell personal data and we do not share it for anyone else's marketing.

7. Transfers outside the UK
Some of the suppliers we use may store or process data outside the UK. Where they do, we make sure the transfer is covered either by UK adequacy regulations or by an International Data Transfer Agreement or equivalent safeguard, so that your data has the same protection it would have here.

8. How long we keep it
- Product traceability records — ten years from the date goods were supplied to us and ten years from the date we supplied them, to meet product safety record-keeping requirements that apply to several of the categories we handle.
- Transaction records — six years from the end of the accounting period in which the last transaction occurred, to meet company and tax record-keeping requirements.
- Enquiries and stock submissions that don't lead to a transaction — 12 months. [assumed]
- Marketing contacts — until you unsubscribe, after which we keep a minimal record of your objection so we don't contact you again.
- General correspondence — 24 months. [assumed]
- Analytics data — as set out in our Cookie Policy.
9. Marketing
If you've asked for them, we may send you stock lists and trade updates by email. Every message identifies us as sender, gives a contact address and includes a working unsubscribe. You can opt out at any time. Opting out doesn't affect messages about a transaction in progress.
10. Your rights
Under UK data protection law you have the right to: ask for a copy of the personal data we hold about you; ask us to correct it; ask us to delete it; ask us to restrict how we use it; object to our using it where we rely on legitimate interests; ask us to transfer it to another organisation; and withdraw consent where we rely on consent.
These rights aren't absolute — we can't delete records we're legally required to keep, and product traceability records are one of those. To make a request, email info@surplus-stockdeals.co.uk. We'll respond within one month.
11. Complaints
If you're unhappy with how we've handled your personal data, please tell us first so we can put it right. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
12. Security
We take appropriate technical and organisational measures to protect personal data, including access controls, encrypted connections to our website, and limiting access to those who need it. No online service is completely secure, but we review our measures regularly.
13. Changes
We may update this policy. The date at the top shows when it last changed. Where a change is significant, we'll tell affected customers directly.
